Actionable Requests
About XPRESSO Actionable Requests
In XPRESSO, any action that requires human intervention or approval by a Group or System Administrators generates an "actionable request" to a corresponding party who is responsible to approve or deny this request; if approved, they are responsible for completing the appropriate action (task).
Some common examples of actions that generate an actionable request include:
- A request to create a new Group.
- A request to join a Group.
- A request to change a role within a Group.
- A request to associate a Group to a LaaS domain/server.
NOTE:
Do not confuse actionable requests (a special form of message) with a Job Request.
How/Where Actionable Requests are Generated?
Actionable requests are created by Users on specific/applicable XPRESSO GUI pages using a floating action button tailored for the action to be performed.
For example, if you want to create a new working Group, you would click the "Request New Group" floating action button on the Group Membership page. Likewise, to join another Group, you would simply click the "Request to Join" floating action button on the same page.
These buttons spawn custom forms that require User input which are then directed to the appropriate Group or System Administrator for approval and to complete the appropriate request (task).
Accessing Actionable Requests
Two methods are used to alert the applicable Group or System Admin about Actionable Requests made from Group Members:
Via email when the Request is made: When an Actionable Request is made via the XPRESSO GUI (using an appropriate floating action button), a duplicate email is also sent to the applicable Group or System Administrator to notify them of the pending request. This method proactively gives them a "heads Up" that a request has been made.
After a Request is made: All Actionable Requests are cached in a repository that the Group or System Admin can access. This provides a secondary method to determine which Actionable Requests are pending and all other requests that have been made. When a new Actionable Request is received, the Alerts icon button on the Main Navigation bar shows a red dot to indicate this.
To Access Actionable Requests:
From the Main Navigation Bar, choose Alerts to open the Alerts Messaging page.
Select the Requests tab. Actionable Requests are listed by the date the Request was made. Actionable Request are also color-coded to indicate their state for tracking purposes:
- Initial - Yellow (the Request is pending; needs to be Approved | Denied)
- Approved - Green
- Denied - Red
Click the blue dot adjacent to the Request to access the Request details. For Initial (pending) requests, the Group or System Admin can either Accept or Deny the request by clicking the appropriate button. Regardless of the choice, a system message is generated and an email is sent back to the user who made the request to inform them the Request has been addressed. The Request state also transitions to which ever choice was made.
Actionable Requests can be marked as read, or deleted permanently (except for Initial Requests) using the breadcrumb icon button located adjacent to each Request. Note that there is no way to recover deleted Actionable Requests from XPRESSO.
