Messaging in XPRESSO
About Messaging in XPRESSO
XPRESSO has two built-in messaging features:
Person-to-Person Messaging
Registered Group Members can communicate with the following personnel within XPRESSO with the integrated messaging system:
- XPRESSO Technical Support
- System Admins
- Other Group Members
This is similar to common e-mails except it is built-into XPRESSO and does not require external e-mail client/servers.
NOTE:
User-generated requests, for example, making a Request to Join a Group or Request a Role Modification are handled as Request messages which require a Group or System Admin to taken an action (accept or deny). See the Messages topic for more information.
Composing a New Message
The launch point for composing a new message is the same for all message recipients:
NOTE:
Also see Getting Help with XPRESSO for Point-of-Contact Guidelines in case you need to contact other resources when working with XPRESSO (for example: to help you with operational restrictions due to your permission settings with your assigned role, or with system-wide problems/requirements).
To Compose a New Message:
From the Main Navigation Bar, choose Settings, Contacts & Help→Contact Portal to open the Contact Messaging page.
Select the appropriate contact category (tab): Technical Support | System Admins | Other Current Group Members.
Enter the message details. Note the attributes for each selectable category:
For messages addressed to the XPRESSO Technical Support team, the message address is hard-coded and cannot be changed.
For messages addressed to the System Admins or other Group Members, you have the option to direct the message to a specific person or multiple persons. Select the pull-down menu adjacent to the To: field to access all available addresses. Click the appropriate checkboxes to select one or more recipients.
In tandem with the built-in message system, you also have the option to send the same message via a standard email to the external email account registered to the System Admin or Group Admin in the event you are not sure the recipient is actively using XPRESSO.
Message can be prioritized by Importance (Low, Medium, or High).
Click the Send button to complete the action.
Accessing Messages Sent to You
When you receive a new message via XPRESSO, the Alerts icon button on the Main Navigation bar shows a red dot to indicate a new message has been received.
IMPORTANT:
When you access your messages, the messages that display pertain to your active Group only (and not all Groups you belong to). If you belong to multiple Groups, you need to switch Groups to see messages pertaining to another Group.
To Access Messages Sent to You through XPRESSO:
From the Main Navigation Bar, choose Alerts to open the Alerts Messaging page.
Select the Messages tab. Message are listed by their date sent.
Click the blue dot adjacent to the Message to access the Message details.
Messages can be marked as read, or deleted permanently using the breadcrumb icon button located adjacent to each message. Note that there is no way to recover messages deleted from XPRESSO.
System (Broadcast) Messages
A System Message is a global message created by the System Administrator that is displayed on the top of the XPRESSO dashboard to all XPRESSO users for a defined period of time. The message is conveyed to all Groups and all Group Members in a Group.
System Messages notify you of any important updates, issues, planned downtime, or any other significant information that may affect system usage.
To Compose a System Message:
System Messages can only be created/distributed by the System Admin. You can also use this procedure to edit or delete system messages.
From the Main Navigation Bar, choose Settings, Contacts & Help→System Management to open the Micro Services Overview page.
Click System Message from the Left menu bar. The System Message Window opens. If no messages are set, go to the next step. If system messages have been configured, you can Edit or Delete them on this page by clicking the appropriate button.
Click the Set System Message button on the top-right of the window. The Set System Message Window opens. Note the specified GMT time differential in the Window title; this may influence when you want to start and end the broadcast of the message to Users.
Configure the required parameters and click the Save button. The message will display on the requested day and time for the specified time period.
